Overview

To monitor and maintain consumer and commercial collateral documentation pertaining to security interest in collateral pledged against the bank's secured loans. Process paid loans, including the release of collateral. Handle requests for assistance with loan issues and perform maintenance to the core system as needed. Provide excellent service and support to customers, the lending staff, and other departments in the bank.

Responsibilities

  • Process new and renewed consumer and commercial loan packages.  Verify loan checklists to be sure required documents have been received, check for document discrepancies, index documents, and save to cold storage system.  Set up collateral ticklers in tracking system. 
  • Perfect the bank's lien on consumer and commercial loans, processing motor vehicle title work, file required documents with the state, county and local tax collectors, processing assignments of life insurance and securities and requesting holds be placed on pledged NDB certificates of deposit.
  • Track UCC filings on web-based system including new filings, continuations, and terminations.  Order UCC searches and lien judgments.
  • Process collateral exception documents received through the mail or electronically including insurance policies, filed documents, title policies, car titles, insurance verifications, etc.  Review for accuracy and proper indexing.  Update collateral ticklers in tracking system.
  • Process payoffs received from dealerships, title companies and other third-parties.
  • Monitor the loan operations email box and distribute requests to appropriate team members as needed.  Respond to customer inquiries regarding loan balance, loan terms, loan statement questions, and advance and payment inquires.  Set loans up on AFT and ACH and generate forms for due date changes and payment extensions.  
  • Assist with research requests regarding loan servicing, misapplied payments, exception tracking and collateral releases.  
  • Mail annual verifications to life insurance and investment companies to update collateral values.
  • Process paid consumer and commercial loans, working with lenders to release the bank’s security interest in collateral, generate paid letter to customer, mail appropriate documentation, update credit bureau reporting codes as needed and input release messages on the loan.
  • Update weekly activity report for updating credit bureau reporting codes on consumer loans. 
  • Prepare payoff statements for customers, financial institutions, and title companies.
  • Verification and payment of incoming drafts.
  • Assist with other duties in the department as requested by supervisor.

Qualifications

  • Bachelor’s degree and/or equivalent work experience required. 
  • Minimum 2 years working at a financial institution, 1-2 years in loan operations preferred.
  • Knowledge of Jack Henry Silverlake system highly desired.
  • Knowledge of Contact Management systems; Database software; Human Resource systems; Internet software; Spreadsheet software and Word Processing software.  Computer skills should be of an intermediate level.
  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to calculate interest, compute rate, ratio, and percent.
  • Computer Skills – Proficient knowledge of Microsoft Office products, including Outlook, Excel and Word. Proficiency with computer systems required.

  • Ability to adhere to policies and procedures and utilize good judgment.
  • Team player with ability to work effectively with all levels of bank staff.
  • Effective interpersonal and communication skills, verbal and written.
  • A willingness to learn new procedures and adapt to changes in the work environment with a positive attitude.
  • This role may encounter pressure of incurring penalties and/or monetary loss due to inaccurate payoff quotes, release of incorrect piece of collateral or failure to file the necessary documents to perfect the bank’s collateral.
  • Integrity, discretion, and respect for confidential information is essential.
